How to Convert a PDF Bank Statement to CSV for Bookkeeping

CSV is one of the simplest ways to move transaction data between systems. It can be opened in Excel, Google Sheets, database tools, and most accounting platforms. The format looks basic, but that simplicity is exactly why it is widely supported.

When CSV is the right choice

Choose CSV when you need a clean table for importing into bookkeeping software, combining with other transaction files, or processing with scripts and automation.

Unlike an Excel workbook, a CSV file stores one plain table. It does not preserve formulas, multiple sheets, styling, or charts. That makes it less suitable for a polished report but very useful for data transfer.

Convert the statement into structured rows

Use the original bank PDF whenever possible. Upload it to a statement-conversion tool and select CSV as the output.

The resulting file should contain one transaction per row. Typical columns include transaction date, description, debit, credit, amount, and balance. The exact structure varies by bank and converter.

Open the CSV in a spreadsheet program and confirm that the columns have not shifted. Long descriptions, commas, and line breaks can create problems when the file is not properly generated.

    Standardize dates and amounts

Accounting systems often require a specific date format, such as YYYY-MM-DD or DD/MM/YYYY. Convert the date column consistently and check ambiguous dates carefully. A value such as 03/04/2026 may mean 3 April or 4 March depending on the source.

Amounts should not include currency symbols or thousands separators unless the destination system explicitly accepts them. Decide whether withdrawals will be negative amounts or placed in a separate debit column.

Do not mix both approaches in the same file unless the import template requires it.

    Match the accounting import template

Before uploading, download a sample template or review the import instructions from the accounting platform. Rename and reorder the columns to match.

Some systems require Date, Description, and Amount. Others ask for Money In and Money Out. Additional fields may include reference, account code, or currency.

Create a small test file with a few transactions before importing an entire year. A test reveals date-format, sign, and encoding issues without creating a large cleanup job.

    Verify the converted data

Check the first and last transactions, total debits, total credits, and closing balance. When a running balance is available, use it to identify missing or duplicated rows.

Keep the PDF, the raw CSV export, and the final import file as separate versions. The raw export shows what the converter produced. The final file shows the transformations made for the accounting system.

    Avoid common CSV problems

If all data appears in one Excel column, the file may be using a delimiter that does not match the regional settings. Import the file through Excel's data-import function and select the correct delimiter.

Special characters can appear incorrectly when the encoding is not recognized. UTF-8 is generally the safest choice for merchant names and descriptions containing non-English characters.

Never edit a CSV in a way that silently changes long reference numbers into scientific notation. Import sensitive identifier columns as text when necessary.

    Frequently asked questions

Can CSV contain more than one sheet?

No. A CSV contains a single table. Use an Excel workbook if you need multiple sheets.

Why are my dates changing in Excel?

Excel may automatically interpret dates according to your regional settings. Import the column explicitly and choose the correct date format.

Can I upload the CSV directly to accounting software?

Usually, after matching the required headers, date format, and debit/credit structure.

Try a faster way to structure statement data

BankConvert helps turn bank statement files into structured Excel or CSV data, reducing repetitive manual entry. Always review the converted output against the original statement before using it for bookkeeping, tax, lending, or compliance work.
